Accounts Receivable
System - ARS
PCI's Accounts Receivable
System (ARS) has been built as a further
integration of PCI's Revenue Billing System (RBS)
and the Revenue collection System (RCS). ARS is
an extension of the Billing system and can be
Browser enabled providing minimized training and
hardware requirements. Invoices can be created
either by being imported from a third party
source, from PCI’s integrated Billing system or
via data entry within the Accounts Receivable
system. ARS provides an opportunity for the
client to consolidate Billing of various types
under a single customer “Account”, if desired.

Accounts
Even though our Billing system or a third party
billing system database is used to establish the
core Accounts Receivable data, additional
Accounts Receivable only attributes can be
added, such as Statement address. Etc. In
addition to the Billing system Account Notes,
notes specific to Accounts Receivable is
provided at Account Level. Accounts may be
assigned to a ‘Collector’ (someone who is
responsible for chasing and collecting overdue
invoices) within the Accounts Receivable
Department. Statements may be produced in
“Detail” or “Carried Forward” mode. The default
mode for an Account is driven by its “Account
Class” but may be set Account by Account if
desired.
Addresses
The address is ‘frozen’ at the point of invoice
creation so the history can easily be tracked.
Multiple User definable Address Types are
available to associate to Invoices, such as
“Shipping” address or “For Information Only”
address.
Customers
Multiple customers can be added to a single
account to ensure payment.
Invoices
Invoices are identified by source, i.e. where
was the invoice raised, by Type, i.e. what kind
of invoice has been raised. Invoices can be
raised based on pre-defined Billing cycles. Each
Invoice type has an invoice format to dictate
screen input, display and print. Invoices may
contain single or multiple line items. Line
items may be associated to PCI’s Billing system
line items or generated upon input. Settlement
discount may be applied in either Standard or
Date driven form. General Discounts or Penalties
may be applied at Invoice or Line item level.
Finance (Interest) charges to be applied at
client discretion either invoked or automated.
Invoices may be voided prior to payment
application. Each Invoice may have a specific
note/comment. Single or multiple notes may be
dispersed throughout an invoice for display,
invoice or statement print (user controlled).
General Ledger
Each Line item, Discount, Penalty or Interest is
mapped to a General Ledger Account for export to
the financial system. Each Mapping can be as
summarized or detailed as required by client.
The Accounts Receivable system can provide
detailed distribution tracking and reporting
i.e. one line item on an invoice can be
distributed to a single G/L Account or over
several (client defined) G/L Accounts. Each
Payment is mapped to a General Ledger Account as
well The structure of the General Ledger Account
Code (Number) is user defined and may contain
multiple elements, each element being a
different size.
Payments
Payments may be imported from a third party
Cashiering system or on-line via PCI’s
cashiering system. Settlement discounts will be
accounted for at Payment time if applicable.
Multiple Invoices may have monies applied from a
single Payment. Multiple Payments may be made
against a single invoice. Overpayment is tracked
and handled as a Credit Memo. Unassigned
Positive adjustments will generate Debit Memos.
Credit Memos may be used as payment against an
invoice. Check requests to Account Payable will
be treated as a Debit memo against one or more
Credit Memos. Payments may be voided, with the
required reversing actions. Client may define
precedence of payments by invoices type i.e.
Real Estate paid before Personal Property, which
is paid before Vehicle Decals etc. Automated
application of payment to Invoices available at
user discretion. Management and tracking of
Payment Plans for Total of given Invoices
(including Penalties/Interest and Fee’s).
Delinquency Tracking and reporting
Printing and reporting
ARS allows users to create there own invoice
printing layouts and comes standard with many
reports. Addition reports can be easily created
and added using an ad-hoc report writer |
